PRINTING TO COPIER FROM SMART PHONE (WITHOUT A PRINT APP)

(Print Incoming Mail Automatically)

(For best practice put on a computer that will not be touched by average user too often if at all…)

You can use apps to do this. Many manufacturers offer apps. For newer copiers this is an option but for older copiers this is not possible. It is possible to do this by adding cell phone to network and doing some well crazy stuff but there is a very simple option. An option that no one is thinking of.

Why not take advantage of the autoprint email feature of outlook and thunderbird and send emails to it from your cell phone… so cool…

(Note: An interesting use case is to scan to email with one copier and use this feature to print to another copier possibly on far side of building)

REQUIREMENTS

Email sending function on cell phone (or copier)…

Email address and/or title that triggers the print rule

email client that follows rule and can connect to printer…

PROCEDURES

IN OUTLOOK MAIL CLIENT (apply to Outlook 2019, 2016, 2013, 2010, 2007; and Outlook for Office 365)

Print Incoming Mail Automatically in Outlook

To make Outlook print emails automatically as they are retrieved:

Go to the Home tab and select Rules > Create Rule.

In the Create Rule dialog box, select Advanced Options.

In the Rules Wizard, select the conditions you want to use to filter incoming messages to print.
For example… email address, subject, key word, title, all, so many options so little time…

Select the print it action.

Select Finish to complete the rule.

Every incoming email that matches the rule you set automatically prints to the printer connected to your computer.

TO ACCESS THIS FEATURE IN OLDER VERSIONS OF OUTLOOK

Access the Rules Wizard in Outlook 2013

In Outlook 2013, to access the Rules Wizard to set up the same rule described above:

Click File.
Open the Info category.
Click Manage Rules & Alerts.
In the Start from a blank rule section, highlight Apply rule on messages I receive.

Access the Rules Wizard in Outlook 2007

In Outlook 2007, to access the Rules Wizard and set up the same rule described above:

Select Tools > Rules and Alerts.
Click New Rule.
Highlight Check messages when they arrive.

Add the Printer Action in Outlook 2013 and Older

If you’re using Outlook 2013 or older, to complete the Rules Wizard to set up printing:

Click Next.
In the Step 2: Edit the rule description section, select the criteria to use to filter incoming messages.
Click Next.
Click Yes.
In the Step 1: Select action(s) section, select the print it check box.
Select Finish.
Select OK.

ONE FINAL NOTE ABOUT OUTLOOK: You can change how often it checks for new emails

FOR MOZILLA THUNDERBIRD

Install FiltaQuilla and create a filter that automatically applies the Print Action to messages that satisfy certain criteria.
